FMS

01.

An FMS or Facility Management System that will auto allocate seats with a manual override, if required.

02.

 The administrator has three simple clicks to allocate - 1. Select the project, 2. Verify if the auto-selected seats are okay, 3. Allocate. 

The Challenge

Stasis (name changed for confidentiality) is a multi-national IT company that required an internal dashboard for managing their facilities with 3 design problems - below are solutions for each of them.

INSPIRATION: UX DESIGN

ADD SEATS

01.

For a global company that works with diverse teams, Stasis and their staff sometimes need to fit in more people into a single facility. On ground, seats and tables can be added, floor plans can be changed to accommodate challenging projects. But within FMS, this should be easy.  

02.

For our FMS admin, it's as simple as clicking the Add New button and then specifying where the new seats should be added.

INSPIRATION: UX DESIGN

SPLIT SEATS

01.

Sometimes there's not enough space to add more seats for teams. In such a case, Stasis teams make temporary arrangements to split their desks with collaborating teams. Using FMS, Stasis admins can now suggest this and keep track of allocated split seats beforehand.

02.

For the FMS admin, clicking any seat will reveal the option dropdown. From here deleting or splitting is easy. These functions can be done for rows or columns of seats - a definite time saver.

REQUESTS

01.

Space requests were typically done through a Space Request Form that managers would tediously email to admins and follow up. This system replaces and enhances the interaction.

02.

We retained the form as the admins were comfortable with that to collect information - but of course I gave it some love in the form of a facelift. This made the experience of booking space or following up with the admin much easier.
